Thank you for your interest in the SummerFest & Fireworks Community Showcase! As a long-standing tradition in our town, this free, family-friendly event has become a cherished annual celebration—drawing over 5,000 attendees in 2023. Each year, local community groups and civic organizations come together to join in the festivities, highlight their projects and services, host engaging activities, and offer meaningful opportunities for community involvement.
Date: Wednesday, June 25, 2025 (rain date Thursday, June 26)
Time: 5:00pm – 10:00pm
Venue: Stafford School Complex (145 Orcuttville Road, Stafford, CT 06076)
Fee: This is a free opportunity designed for non-profit organizations and civic organizations.
The Community Showcase is specifically designed for local civic groups, organizations, and nonprofits dedicated to serving the public good through service, advocacy, or social engagement—and that operate without a primary goal of profit. Eligible participants include local service clubs, volunteer fire or rescue groups, town commissions, foundations, school clubs or associations, grassroots organizations, and advocacy groups. Please note that the Community Showcase is not classified as a vendor sales event. For-profit entities may be considered only if their booth features a family-friendly activity or supports a community initiative. To be part of this vibrant celebration, please complete the form below in its entirety, providing details about your organization, booth theme, size, and other relevant information.

Space is available on a first come, first serve basis. Booth sizes should not exceed a 15x15 area. All shade awnings will be secured with weights. Vendors are responsible for bringing their own table, tent, and chairs to the event.

Relevance: Booths/offerings should focus on topics, projects, or services that are relevant to the Stafford community.

Non-Commercial: Participants should refrain from engaging in commercial activities such as selling products or promoting for-profit businesses unless explicitly allowed by Stafford Events & Celebrations Committee.

Information Sharing: Booths should aim to inform and educate attendees about their organization, projects, or services. Providing pamphlets, brochures, or interactive displays is encouraged.

Engagement: Participants should actively engage with attendees, answering questions, providing demonstrations, and fostering conversations about their initiatives.

Family-friendly Content: All booth materials, displays, and activities must be suitable for a family audience. This includes avoiding explicit language, imagery, or themes that may be inappropriate for children. All interactions should be conducted in a respectful and courteous manner.

Respectful Behavior: Participants should avoid engaging in any behavior that could be perceived as disrespectful, discriminatory, or offensive.

Safety: Booths should adhere to safety regulations and guidelines set forth by event organizers. This includes ensuring that displays and activities are safe for attendees of all ages.

Cleanliness: Participants are responsible for keeping their booth area clean and tidy throughout the event. This includes proper disposal of trash and maintaining an organized display area.

Booth Operation Hours: Participants should adhere to designated operating hours for their booth as specified by event organizers. Early setup and late teardown should be coordinated in advance.

Compliance with Laws and Regulations: Participants must comply with all applicable laws, regulations, and permits governing their activities at the event, including any health and safety regulations.

Cooperation with Event Staff: Participants should cooperate with event staff and follow their instructions to ensure the smooth operation of the event.

Health Department Permit: any entity serving food must be licensed through the North Central District Health Department (NCDHD). If your organization does not hold an annual Seasonal Food Service License, a Temporary Event Food Service Application must be submitted, and applicable permit fees paid, at least TWO WEEKS prior to the event—no later than June 11, 2025 (late submissions are not guaranteed; additional fees apply.). Applications are available at the NCDHD Office, located at the Warren Memorial Town Hall, or by calling 860-684-1775. More information is available at www.ncdhd.org.
